General Meeting Minutes

- 1. Welcome and Introductions – President
- Joanna welcome all and introduced the executive committee
- 2. Agenda review and additions; Minutes review and accept – Secretary
- Additions to the agenda include Hamilton Philharmonic Tickets and Jay Farr Updates
- February 2014 agenda was approved: Moved by Lee, Seconded by Mike
- Minutes November, December, January were approved withstanding member comments for revisions: Moved by Matt, Seconded by Mike
- 3. Guest Speaker: Jeremy Frieburger, Cobalt Connects
- Jeremy Frieburger was unable to attend
- ACTION: Adam to follow up with Jeremy/Exec to propose another presentation date Completed
- 4. Jay Farr Updates
- Road work coming to Alanson this spring-as well as feeder streets on the south side of Stinson
- Permit parking will be designated as only on east side of Grant Ave and south side of Stinson St
- Jay will be looking at the possibility of parking on both sides of Grant
- Wentworth turn at Charlton work to happen spring 2014. Work will include bigger signs and increased signage, cross walk enhancements
- Upcoming meeting with Joanna and City staff to look at ramp access across the tracks
- Bike lanes will be painted
- 467 Charlton is waiting for staff to report to planner regarding what’s allowed / not allowed with latest development plans
- Looking to hire a new Participatory Budgeting facilitator

- 6. Participatory Budgeting Ward 2 Update (PBW2) – Lee
- Neighbourhood Assocations meeting with Farr to develop a list of recommendations required of new facilitator (a hand out was shared at the meeting)
- A posting is available online by the City to hire a new Participatory Budgeting facilitator
- Will be a paid position
- Activity will be slow to start, more intense
- Don’t have the PB program design yet – Hoping to still be assembly led
- Time commitment-still to be determined, designed with facilitator
- Will be hired by the end of this month, someone a good fit for the ward, councilor and the staff
- Project management experience, work with volunteers and run a smooth program
- Can post to Stinson website and FB
- ACTION: Ralph to post PB facilitator to website and FB page
- 7. Action Plan & Committee Updates – Committee Chairs
- Carter Park Skating Rink
- o Submitted required documentations a couple weeks ago to Parks desk
- o ACTION: Jay to follow up
- o If approved, still looking for volunteers
- Constitution
- o Hard and soft copies available
- o Living document
- o 3 big ticket items to discuss with the group
- o In the fall we will accept the constitution
- o Next step you take and read it, follow up with comments, send comments via email, or speak directly with
- o Will spend some time at meetings to discuss key topics
- o ACTION: Erika to send out soft copies for the group to review COMPLETED
- CPR
- o Meeting on February 20th
- Events
- o Easter egg hunt
- o Should we do it Saturday-more volunteers, work with Amber (Y on Wheels), still have weekend to do family stuff
- o Will need volunteers
- o ACTION: Mike M to help out Andrew, Matt, Lee, Joanna, Dawn, Drake
- o Get some people to come out the night before to rake the field, ready for Saturday to come and set up
- o Jay Farr to cover insurance or SEAT application
- o Promo on FB , website, word of mouth at child friendly centres, will use Newsletter, can go to St Pat’s
- o ACTION: Katherine to follow up with places for promoting events, esp. St Pat’s Church vis a vis Christina

- Newsletter
- o Will be doing a Zine-will be bi monthly, first edition is April 1st
- o Current members are Ralph, Matt, Katherine, Joanna, Erika, Andrew, Adam, Rebecca, Natasha-seeking more volunteers to take on roles/tasks
- o Applying to Allegra for printing services
- o Seeking advertising revenue – Reaching out to local businesses, we have a directory, went out to talk to businesses, made some sales, will be following up with others, $500 in sales so far-we have a rate card
- o Distribution to go to all residents, and buildings-need someone to organize, block champions, building champions
- o ACTION: Mike to support distribution
- o Each issue will have a theme, content will include feature articles, events, updates, and more
- o Financial plan – SCA funds, look at having small cash funds reserve or startup funding at approximately $315
- o Ralph to put through motion for $350 startup funding for first edition of StinZine, Dawn to second motion
- o ACTION: $350 will be set aside from the SCA account for Zine startup costs
- o Look for $2000 from Building Momentum event; Jay Farr looking into possibility
- o ACTION: Jay to confirm $2000 in funds towards the Zine CONFIRMED
- Rail Trail
- o City contact to come to the next meeting
- o Next meeting is in April
- o ACTION: Rebecca will put someone in touch with the committee (Devon)
- Safe Streets
- o Joanna to revive committee
- o Road work is happening, also cycle, and pedestrian master plan-all being implemented this year-all about infrastructure
- o Looking for volunteers, engagement
- o At the next SCA meeting will have 3 guests to speak about plans
- o If you know someone on your street, or in your building-invite them and bring them to the meeting, or contact Joanna, or [email protected]
- 8. Action Tracker
- Entering information into tracker – Have specific stuff to enter-will be reaching to each committee chair for details
- Dates, quantitative information are currently available – Andrew to follow up
- ACTION: Andrew will send info collected to the secretary to be added to the minutes
- Other Business: Question-Will SCA post committee chairs for individuals to have a contact point if interested in attending committee
- ACTION: will follow up with ideas for committee contacts i.e. website post?
- When we come up with new initiatives, i.e. Zine committee, would that be under existing goals or be a new action? Zine is under the communications. Ongoing, will be on case by case basis
- 9. Action Team Leader Workshop and Hamilton Philharmonic tickets– Rebecca Doll (8:00 – 8:05)
- Action team workshop with people leading action teams use resources to help team i.e. funding, etc. useful stuff that all should know
- March 6th 7 – 9 PM for a first workshop
- ACTION: Rebecca to book a room here for the workshop COMPLETED
- 35 free tickets to the Hamilton Philharmonic Orchestra
- How do we distribute?
- First come / first serve Blast on FB or website
- Katherine, Andrew, Mike, Matt, Joanna, Lee and Dawn, Good Shepherd, volunteers (all plus one)
- ACTION: Ralph will drop off with Katherine for pick up
- ACTION: Will post and be first come/first serve for remaining tickets
- 10. Values Exercise –Erika Morton
- March meeting will be participating in a values exercise, led by Rebecca
- Create a vision of the community once we have values
- Them a mission statement is this group “our mission” within value structure
- 11. Executive Committee Updates – President/Treasurer
- Vice President-Ward 2 community council meeting (formation of all 2 community associations) – McHattie-presentation of PB in Ward 1. Will post minutes on the website
- Heritage Houses event that is being planned-the Hamilton Club at Main and James
- Speak to doing restorative work downtown
- Wanted to know if there is interest to have an event
- ACTION: Ralph to post meeting minutes on website and follow up with more details about event
- Beasley-Community Land Trust, nonprofit org purchase/donation or acquire land parcels of vacant buildings
- Ralph and Katherine submitted NLI project for use of Cathedral
- Will be following up with Beasley about this process to prepare for Cathedral project
- How to publish names in the meeting minutes-should be first name and last name, with exceptions (sign in with name you are comfortable using for the minutes)
- ACTION: Members to contact Erika if they do not want their full name posted in the minutes at [email protected]
- Now have email addresses for each executive committee member. Also have [email protected] –please use info for all inquiries
- Will add our own signature to identify who is responding to ”info” email address
